Beyond Healing Institute — Virtual Attendance Policy

Beyond Healing Institute (“BHI,” “we,” “us”) is committed to delivering high-quality, clinically responsible training in a virtual format.
Virtual attendance offers significant flexibility and convenience; however, it also requires additional preparation and responsibility to protect
learning outcomes, participant experience, and—when applicable—training integrity and continuing education requirements.
1) Scope
This policy applies to all Beyond Healing Institute trainings delivered virtually, including any live online workshops, consultation groups,
and virtual components of hybrid trainings (“Training”).
2) Required Technology & Equipment
- Dedicated computer required: You must attend from a laptop or desktop computer (not a phone or tablet) with a functioning webcam and microphone.
- Webcam on: Your camera must remain on during instructional and experiential/practicum portions of the Training unless otherwise directed by faculty.
- Reliable internet: High-speed internet capable of sustained video conferencing is required. If your connection is unstable, you must secure an alternate connection.
- Audio quality: Headphones are strongly recommended. Participants should minimize background noise and echo.
- Power & updates: Ensure your device is charged/plugged in and operating system updates are completed before the Training begins.
3) Platform Readiness
BHI trainings may require participants to navigate multiple tools and digital platforms (e.g., Zoom, learning portals, shared documents, surveys, or supplemental resources).
- Login credentials: You are responsible for maintaining access to all required platforms (usernames/passwords) and completing any pre-training setup steps.
- Quick navigation: You must be able to follow instructions promptly (joining sessions, moving into breakout rooms, opening links, and accessing materials) without disrupting the group.
- Basic proficiency: Participants should be comfortable with common tasks such as adjusting audio/video settings, using chat, renaming display name when requested, and accessing shared resources.
4) Learning Environment Requirements
- Private, distraction-free space: Attend from a location that supports focus and confidentiality (especially during dyads/practice sessions).
- No public attendance: Do not attend from a public space (coffee shop, airport, shared workspace) where privacy cannot be ensured.
- No driving: Attending while driving is not permitted.
- Professional conduct: Participants must remain respectful, attentive, and collaborative with faculty and peers.
5) Attendance, Participation, and Integrity
Virtual trainings rely on participant presence and engagement. When applicable, continuing education credit and/or training completion is contingent upon meeting attendance and participation requirements.
- Full attendance: You are expected to attend all required portions of the Training, including experiential/practice segments.
- Camera expectations: Camera must remain on unless otherwise instructed by faculty or an approved accommodation is arranged in advance.
- Display name: Use your real first and last name (or the name provided to BHI) to support attendance verification and group safety.
- Breakout participation: You must participate in breakout groups as directed. Leaving, refusing, or repeatedly missing breakouts may impact completion eligibility.
6) Confidentiality & Recording
- Confidentiality: Participants must protect the privacy of all training participants. Do not share personal disclosures, clinical details, or identifying information discussed during Training.
- No participant recording: Recording, photographing, or screen capturing Training content (including breakouts) is prohibited unless explicitly authorized in writing by BHI.
- BHI recording notice: BHI may record select instructional segments for quality assurance or participant access when indicated. Breakout rooms/practice sessions are typically not recorded.
If recording will occur, participants will be notified.
7) Technical Difficulties
Virtual attendance requires technological readiness. While we aim to support participants, technical issues do not eliminate attendance or participation requirements.
- Participant responsibility: You are responsible for testing your setup prior to Training (internet speed, audio/video, logins, updates).
- Backup plan: Have a backup plan (alternate internet location/hotspot, alternate device) ready if problems occur.
- Support limitations: BHI cannot guarantee real-time tech support for individual device/network issues.
8) Disruptions, Safety, and Faculty Authority
Faculty may take reasonable steps to protect the learning environment, including muting participants, disabling chat, or removing disruptive attendees from a session.
- Disruptive conduct, repeated failure to follow instructions, or violation of confidentiality may result in removal from Training without refund (subject to your enrollment agreement).
- BHI may require participants to rejoin with correct settings (camera on, display name updated, appropriate environment) to remain eligible for completion.
9) Accessibility & Accommodation
We are committed to accessible learning. If you need an accommodation, please contact us as early as possible prior to Training so we can collaborate on an appropriate plan.
